Sheriff Records Technician Location Salida, CO :

The Records Technician performs a variety of clerical and administrative duties in the compilation, processing, maintenance, distribution and retention of records for several local law enforcement agencies and the County detention facility. Records include civil process requests, traffic citations and payments, sex offender records, bookkeeping of monthly reports, financial transactions and records, personnel records and administrative correspondence. Enjoy a 4 day work week! Records personnel work Monday - Thursday, 6:30 am to 5:00 pm.

POSITION SUMMARY:

The Records Technician performs a variety of clerical and administrative duties in the compilation, processing, maintenance, distribution and retention of records for several local law enforcement agencies and the County detention facility. Records include civil process requests, traffic citations and payments, sex offender records, bookkeeping of monthly reports, financial transactions and records, personnel records and administrative correspondence.

In the event of a local emergency due to an actual or threatened disaster, County employees may be required to provide services during the emergency and for a subsequent period of assessment and recovery.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

The following duty statements are illustrative of the essential functions of the job and do not include other non-essential or marginal duties that may be required. · Prepare criminal and non-criminal records and reports, interviews and statements; review for accuracy; distribute to appropriate agencies and personnel.

· Process civil documents and bill appropriate parties, complete weekly and monthly cash deposits.

· Review, redact and release reports and body camera footage to members of the public, following guidelines set by the Colorado Criminal Justice open records legislation.

· Process jail/bond paperwork.

· Prepare court paperwork, distribute information and maintain log of court cases.

· Perform administrative duties for Sheriff and Undersheriff, includes answer telephone, direct visitors, prepare correspondence and photocopy documents.

· Prepare a variety of files and cross reference indexes in order to assure timely and operational criminal and non-criminal references; update and purge files.

· Enter data into searches and departmental files and computer databases, as well as CBI and NIBRS to locate information requested by department personnel, other law enforcement agencies, attorneys, the general public and insurance companies.

· Answer records questions from courts and general public on the telephone and in person; release records to authorized persons and collect associated fees.

· Administer concealed weapons permit process; make arrangements for interviews; conduct background checks; track permits.

· Maintain and balance various Sheriff office accounts.

· Prepare bonds and other jail forms.

· Operate motor vehicle for local travel and infrequent out of town travel.

· Maintain notary commission certification.

· Maintain CCIC and NCIC Operator certification.

· Attend required training in Records Release, NIBRS, Civil Process and other classes. These courses may be required to attend in person outside the local area.

· Perform other duties as required.

KNOWLEDGE, SKILLS AND ABILITIES:

· Maintain knowledge of basic federal, state, local laws; and internal processes and procedures.

· Maintain knowledge of law enforcement administrative documents, records, requirements and services.

· Ability to troubleshoot and resolve concerns timely and effectively for customers.

· Ability to professionally and calmly respond to inquiries including in unpleasant or stressful circumstances.

· Ability to interact and respond in a professional manner with internal and external customers including members of the public via in person interactions, telephone, email and computer systems.

· Maintain knowledge of law enforcement terminology and legal document formats including ability to read, interpret and prepare related documents.

· Maintain knowledge of office practices and procedures to effectively organize and maintain files, records and schedules and relay pertinent information in a timely manner.

· Ability to accept work direction in verbal and written form.

· Ability to work independently, and within a team.

· Ability to remember schedules, programs, policies and other details, and apply good time management and organization skills.

· Proficiency with Microsoft 365 and Google Workspace.

· Ability to operate standard office equipment such as keyboard, computer, telephone, copier, fax machine and other office equipment.

MINIMUM EDUCATION AND EXPERIENCE:

· High school diploma or GED equivalent.

· Notary Public Commission certification or ability to acquire within 30 days of hire.

· 1 year of office experience.

· Successful completion of NIBRS and Uniform Crime Reporting training.

· Acceptable background check results.

PHYSICAL REQUIREMENTS :

· Ability to view computer monitor, type using keyboard, operate computer and navigate various software for significant amounts of time.

· Ability to conduct activities involving possible prolonged standing and walking, and substantial sitting.

· Ability to lift, carry, push or pull burdens weighing up to 25 lbs.

· Ability to grasp and manipulate office equipment, hand tools, and similar other tools and materials.

· Ability to conduct activities involving stooping, kneeling/bending, crouching, twisting, and reaching on a frequent basis.

· Ability to participate in routine conversation in person or via telephone, and distinguish telephone, radio/pager signals, printers, computers and other auditory tones

· Ability to distinguish small objects at near and far distances in conditions of bright or low light; ability to distinguish depth and see objects in a wide field of vision; ability to work on computers for significant amounts of time.

ENVIRONMENTAL CONDITIONS:

The position's duties are performed in an office environment, exposed to noise, mechanical and electrical, and other related hazards associated with an office environment

Frequent contact with the general public, suspects, arrestees, inmates, co-workers, supervisors, court officials and other agencies.
